When Time Management Challenges Reveal Opportunities to Improve Team Workflow

When a capable staff member seems stretched, it is easy to assume they need stronger time management.

Sometimes that is part of it.

But often, what looks like a time management challenge is also an opportunity to improve workflow, prioritization, communication, and the systems surrounding the work.

Meetings generate action items, but follow-up is not always consistent. Notes live in too many places. Files are harder to find than they should be. Priorities keep shifting. The person is working hard, but the structure around the work may not be fully supporting them.

That is where thoughtful support can make a meaningful difference.

In my work with professionals and teams, I help people improve time management, prioritization, workflow, organization, and internal processes. That can include clearer steps for preparing for meetings and events, better ways to document decisions and next steps, more intentional time for administrative work, and stronger file organization and naming conventions.

This work is not about adding unnecessary complexity.

It is about helping staff work more effectively, strengthening team workflow, and creating practical systems that support focus, follow-through, and clearer communication.

For HR leaders, executive directors, program directors, and managers, this can be a useful lens. When someone is having difficulty keeping up, the most helpful question may not be, “How can they manage their time better?”

A better question may be, “What opportunity is there to strengthen the workflow, systems, or expectations here?”

That question often leads to more effective support, not just for one person, but for the broader team.

Stronger systems help good people do their best work.

What is one workflow or prioritization challenge your team is navigating right now? I’d be interested to hear what’s coming up for you.

What Gardening Taught Me About Being Too Tough on Myself
Are you being too tough on yourself? I have been asking myself that question as I work on setting up my garden. For a while, I focused on what had not happened yet. The layout was not clear. The fence was still in progress. Other people seemed to have beautiful, productive gardens already, and I found myself wondering why this was taking me so long. When people asked me how the garden was comin...
A Simple Framework for Clearer Career and Leadership Communication
As a law student, I learned the IRAC method. IRAC is a structured legal analysis method that stands for Issue, Rule, Application, and Conclusion. It is used to organize reasoning and communicate legal arguments clearly. That may sound specific to the legal field, but the framework can be useful in many professional settings. Whether you are preparing for a job interview, writing a donor appeal,...
How to Make More Room for What Matters
I was recently supporting a client who has a lot going on right now. Work is especially busy. They have several trips coming up, both personal and professional. They also recently started a passion project that matters to them and is taking up a meaningful amount of time. They were feeling scattered, stressed out, and close to burnout. As we talked, it became clear that the challenge was not on...
